What CompareBidsPro Does
CompareBidsPro provides document-based HVAC bid comparison and decision-support services for owners, property managers, HOA decision-makers, building managers, and commercial clients.
Clients submit HVAC bid packages. CompareBidsPro reviews the documents and returns a plain-English Initial Comparison Report that helps identify important differences, missing items, unclear scope, exclusions, pricing issues, owner responsibilities, and bidder-specific follow-up questions before award.
The service also includes one Follow-Up Comparison Report after contractor responses are submitted within the allowed response window, as described below.
Two-Report Service
CompareBidsPro’s standard HVAC bid comparison service includes two reports:
1. Initial Comparison Report
This report reviews the original bid package and identifies important differences, gaps, unclear items, exclusions, pricing issues, and bidder-specific questions to send back to contractors.
2. Follow-Up Comparison Report
This report updates the comparison after contractors respond to the questions raised in the Initial Comparison Report. The follow-up report uses the same review framework as the original report.
Contractor Response Window
Clients may submit contractor responses for the included Follow-Up Comparison Report within 30 days of delivery of the Initial Comparison Report.
Clients do not need to wait the full 30 days. If all contractor responses are received sooner, they may be submitted sooner.
Contractor responses should be submitted together as one response package when the client is ready for the Follow-Up Comparison Report.
Follow-Up Report Limits
The included Follow-Up Comparison Report applies to the same project, same bidders, and same base scope reviewed in the Initial Comparison Report.
New bidders, major scope changes, substantially revised bid packages, multi-building packages, unusually complex submissions, or additional rounds of contractor responses may require separate pricing or a separate review.
Decision Support Only
CompareBidsPro does not choose the winning bidder.
Final vendor selection, negotiation, clarification, contract terms, and award decisions remain the client’s responsibility.
Not Engineering, Legal, or Code Advice
CompareBidsPro does not provide engineering design, stamped plans, load calculations, code interpretation, legal advice, procurement advice, insurance advice, or regulatory advice.
Nothing on this site or in any report should be treated as engineering, legal, procurement, insurance, or code-compliance certification.
Document-Based Review Only
Our analysis is based only on the documents provided and reviewed.
CompareBidsPro does not inspect equipment, visit the site, verify field conditions, confirm contractor statements outside the submitted documents, or independently verify contractor qualifications unless specifically stated.
Contractor Responses
Contractor responses are reviewed as submitted documents. CompareBidsPro does not independently verify whether a contractor response is accurate, complete, binding, or incorporated into the final contract documents.
Clients remain responsible for confirming any contractor response directly with the contractor and ensuring that important clarifications are reflected in final contract documents before award.
Complete Documents Matter
Clients should submit complete document packages whenever possible.
That means one complete file per bidder and, if available, the owner request, RFP, RFQ, scope sheet, specification document, addenda, attachments, exclusions, equipment sheets, alternates, and related pages.
Incomplete, Unreadable, or Missing Documents
Missing pages, missing attachments, unreadable scans, partial uploads, or incomplete proposal packets may limit the analysis.
If the file set is incomplete or unclear, CompareBidsPro may delay the review, request corrected files, or mark the report as provisional.
Turnaround begins after complete and usable files are received.
Public Review Data
If public review information is included, it is provided as supplemental context only.
Public reviews, ratings, complaint data, or business profiles may be incomplete, outdated, unverified, or not directly relevant to the current project. Public review data should not be treated as the sole basis for award or rejection.
Client Responsibility
Clients remain responsible for reviewing the underlying proposals, obtaining bidder clarifications, confirming scope, confirming exclusions, verifying pricing, reviewing contract terms, and obtaining any legal, technical, insurance, licensing, or compliance review they consider necessary before award.
Information We Collect
CompareBidsPro may collect contact information, project or property names, uploaded bid documents, scope documents, contractor responses, notes submitted through forms, payment-related information, and other information reasonably necessary to provide the service.
How Information Is Used
Submitted information is used to review the bid package, prepare and deliver the purchased reports, communicate with the client, maintain records, improve operations, and protect against misuse of the service.
Third-Party Services
CompareBidsPro may use third-party providers for website hosting, payment processing, secure file upload, cloud storage, email delivery, AI-assisted document review, and related business functions.
By using the service, the client understands that submitted information may pass through or be stored with those providers as part of normal service delivery.
No Sale of Client Documents
CompareBidsPro does not sell client bid documents to third parties.
Use of AI
CompareBidsPro may use AI-assisted tools as part of the document review process, but reports are structured, reviewed, and prepared through CompareBidsPro’s internal analysis process.
The service is not a raw AI output and does not ask AI to choose a winning bidder. The goal is to identify document differences, missing or unclear items, risk flags, pricing questions, owner responsibilities, and bidder-specific questions so the client can make a better-informed decision.
Document Retention
Raw uploaded source documents and contractor response packages may be scheduled for deletion after the service is complete and delivered.
Finished reports, payment records, communication records, and minimal business records may be retained longer for operational, accounting, legal, or service-history purposes.
No Warranty
CompareBidsPro reports are provided as-is.
CompareBidsPro does not guarantee that a report will prevent cost overruns, disputes, change orders, bidder issues, scope gaps, delays, or project problems.
