What is CompareBidsPro?
CompareBidsPro is a two-report HVAC bid comparison service for owners, property managers, HOA boards, building managers, and commercial clients.
You send the bid package. We review the documents, pull out the important differences, flag what is missing or unclear, and provide bidder-specific questions to send back to contractors.
After contractors respond, you can submit their answers and receive one included Follow-Up Comparison Report.
Who is this for?
CompareBidsPro is for people comparing commercial or property-management HVAC bids, especially full replacements, rooftop unit projects, and other significant HVAC work.
It is built for owners, property managers, HOA decision-makers, building managers, and anyone who has to sort through contractor proposals before awarding the job.
What problem does this solve?
Most HVAC bids are not truly apples-to-apples.
One contractor may include items another leaves vague. One may bury exclusions in the fine print. Another may price a narrower scope and look cheaper than they really are.
That leaves you sorting through scope language, warranty terms, exclusions, assumptions, and contractor wording when you should be moving toward a decision.
CompareBidsPro pulls those differences into view.
Why two reports?
Because the first comparison often shows what needs to be clarified before award.
The Initial Comparison Report finds the gaps, exclusions, unclear items, pricing differences, and owner responsibilities.
It also gives you bidder-specific questions to send back to contractors.
After the contractors respond, the Follow-Up Comparison Report updates the comparison using the same review framework.
What do I get?
You get two reports as part of one service.
1. Initial Comparison Report
This shows what was requested, what each bidder addressed, what each bidder excluded or left unclear, where the important differences are, and what questions should go back to each bidder before award.
2. Follow-Up Comparison Report
After contractors respond, you can submit their answers within 30 days and receive one updated comparison using the same review framework.
The goal is not more paperwork. The goal is a clearer decision before someone signs off on the job.
Do you give me the questions to ask each bidder?
Yes.
The Initial Comparison Report includes bidder-specific follow-up questions based on each contractor’s proposal.
You do not have to read the report and figure out the questions on your own. The questions are part of the report.
How does the Follow-Up Comparison Report work?
After you receive the Initial Comparison Report, send the bidder-specific questions to the contractors.
When the responses come back, submit them to CompareBidsPro as one response package.
You may submit the response package any time within 30 days. If all contractor responses come back in four days, you can submit them immediately. You do not have to wait the full 30 days.
CompareBidsPro then produces one included Follow-Up Comparison Report using the same review framework as the original report.
What if some contractors do not respond?
You can still submit the responses you have.
Items that are not answered, not clarified, or not supported by the contractor’s response may remain marked as unclear in the Follow-Up Comparison Report.
Why this matters
More bidders can mean better competition, but only if you can compare the proposals clearly.
CompareBidsPro helps you review more HVAC bids without getting buried in inconsistent scope, unclear exclusions, missing details, and hard-to-compare pricing.
It helps reduce the hours spent sorting through uneven contractor language and gives you a more organized basis for follow-up and decision-making.
Why not just compare the bids myself?
You can. Many people do.
It is also a good way to lose hours and still wonder whether you missed something important.
The issue is not reading the bids. The issue is catching what is not aligned between them, knowing what questions to ask, and folding the answers back into the comparison.
That is where the headaches start.
What makes this different?
This is a service, not software.
There is nothing to install, nothing to learn, no dashboard to figure out, and no spreadsheet you have to build yourself.
You send the documents. CompareBidsPro does the review, produces the Initial Comparison Report, gives you the bidder-specific questions, and provides one Follow-Up Comparison Report after contractor responses are submitted.
Is this a subscription?
No.
There are no recurring payments.
You pay for the HVAC bid comparison service you need.
Can this save time?
Yes. That is one of the main reasons it exists.
Instead of spending hours reviewing scope language, exclusions, warranty terms, addenda, and contractor fine print, you get the key issues organized in one review.
You also get the follow-up questions prepared for you, which can make the next step faster and cleaner.
Can this save money?
It can.
A cheaper bid is not always the cheaper job.
Missing scope, vague exclusions, unclear responsibilities, weak warranty language, and unmentioned add-ons can cost far more later than they seem to save up front.
CompareBidsPro is designed to help catch those issues before award, not after.
What kinds of issues get flagged?
The report checks for the kinds of things that make HVAC bids hard to compare:
Missing or unclear scope
Exclusions that matter
Warranty differences
Permit responsibility
Controls and EMS issues
Ductwork and electrical scope gaps
Startup and commissioning language
Math inconsistencies, when visible
Missing pages or incomplete proposal packets
Questions that should go back to the bidders before a decision is made
The goal is simple: make uneven bids easier to understand, challenge, and compare.
What trades are covered?
CompareBidsPro is focused on commercial and property-management HVAC.
That includes full replacements, rooftop unit proposals, and other substantial HVAC bid packages.
What is not included?
This is not engineering design.
It is not legal advice.
It is not code compliance certification.
It is not an award recommendation.
We do not pick the winner for you. We help you see the differences, the risks, the unclear items, and the questions that matter.
What do I need to send?
For the Initial Comparison Report, send one complete file per bidder, preferably PDF.
If available, also include the owner request, RFP, RFQ, scope sheet, specification document, addenda, and related project documents.
Please include all pages, attachments, exclusions, equipment sheets, alternates, and related documents.
What if my files are incomplete?
If pages are missing, out of order, unreadable, or incomplete, the analysis may be delayed or marked provisional.
Turnaround begins after complete and usable files are received.
How fast is turnaround?
Turnaround begins after complete and usable files are received.
The Initial Comparison Report and Follow-Up Comparison Report are each reviewed after the relevant complete package is submitted.
The fastest path is simple: upload the separate bid files and the spec documentation, if available, in one upload session whenever possible. For the follow-up report, submit all contractor responses together as one response package.
How do I get started?
Purchase the comparison service, then use the secure upload link and password provided after payment to submit your original bid package.
CompareBidsPro reviews the documents and returns the Initial Comparison Report.
Use the bidder-specific questions to ask contractors for clarification. When the responses are ready, submit them within 30 days for the included Follow-Up Comparison Report.
Why not just use AI?
You can try.
The hard part is not getting AI to read a bid. The hard part is knowing what to check, catching what is missing, writing useful bidder-specific questions, and turning the result into something useful before award.
CompareBidsPro uses a structured HVAC review process to identify scope gaps, exclusions, warranty differences, permit responsibility, controls issues, pricing questions, and bidder follow-ups.
You get the finished reports without having to build the process yourself.
Bottom line
If the bids were already clear, aligned, and easy to compare, you probably would not be here.
CompareBidsPro exists for the jobs where the details matter, the wording is uneven, and the decision is too important to make on price alone.
One report to find the gaps.
One set of bidder-specific questions.
One follow-up report after contractors respond.
