How it Works

HVAC Bid Comparison & Analysis

How CompareBidsPro works

Send us the bids. We find the gaps, organize the differences, give you the questions to ask, and then analyze the contractors’ answers.

What problem does this solve?

HVAC bids often look comparable until you start digging into the details. One contractor may include work another excludes. One may leave permits, controls, electrical work, startup, commissioning, warranty registration, or owner responsibilities unclear. Another may simply price a narrower scope and appear cheaper.

The difficult part is not seeing the price. It is understanding what each contractor is actually offering — and what may be missing.

That matters when you are about to recommend or approve a $50,000, $100,000 or $500,000 project.

Know what you’re buying. And what you’re not buying.

Four simple steps

Step 1

Send the bid package

Upload up to six contractor proposals. If available, also include the owner request, RFP, RFQ, scope sheet, specifications, addenda, and related project documents.

Step 2

We analyze the bids

We compare the proposals against the owner request and against each other, flag material differences, identify unclear or missing items, and check document completeness.

Step 3

Send the questions

You receive bidder-specific clarification questions based on each contractor’s own proposal. You send those questions back to the bidders.

Step 4

Send the answers back

Submit the contractor responses within 30 days. We analyze what changed, what was resolved, and what still needs attention before award.

What we look for

  • Missing or unclear scope
  • Exclusions and “by others” language
  • Owner responsibilities
  • Pricing differences and potential adders
  • Payment and commercial terms
  • Permits and inspections
  • Controls / BAS / EMS
  • Electrical and ductwork scope
  • Roof, curb, crane and access
  • Startup and commissioning
  • Warranty and registration terms
  • Math or pricing inconsistencies when visible
  • Missing pages, attachments or incomplete packets
  • Questions that should be resolved before award

What you get

Initial bid analysis

A structured comparison showing what was requested, what each bidder addressed, what differs, what is excluded or unclear, where pricing or responsibilities differ, and what questions should go back to each bidder.

Included contractor-response analysis

When contractor responses come back, submit them within 30 days. We analyze the answers using the same framework and show what was clarified, what changed, and what remains unresolved.

The goal is not more paperwork. The goal is a clearer basis for making — and explaining — the decision before someone signs off on the job.

Who is this for?

CompareBidsPro is built for owners, property managers, HOA and condominium decision-makers, building managers, facilities teams, and commercial property decision-makers who have to sort through multiple HVAC proposals before awarding work.

It can be used for replacements, rooftop-unit projects, new installations, upgrades, major repairs, and other substantial HVAC bid packages.

Why not just compare the bids yourself?

You can. Many people do.

It is also easy to lose hours and still wonder whether you missed something important. The real work is not simply reading the bids. It is catching what is not aligned, spotting what is absent or vague, knowing which questions to ask, and then folding the answers back into the analysis.

That is the headache CompareBidsPro is designed to remove.

Important details

What if some contractors do not respond?

Submit the responses you have. Items that were not answered or supported may remain marked as unclear or unresolved in the follow-up analysis.

What if my files are incomplete?

Missing, unreadable, out-of-order, or incomplete files may delay the analysis or require items to be marked provisional. Turnaround begins after complete and usable files are received.

What do I need to send?

Provide one complete file per bidder whenever possible. Include all pages, attachments, exclusions, equipment sheets, alternates, and related documents. If available, also include the owner request, RFP, RFQ, scope sheet, specifications, and addenda.

Is this software or a subscription?

No. There is nothing to install, no dashboard to learn, and no recurring payment. You send the documents and CompareBidsPro does the analysis.

Why not just use AI?

AI can read a bid. The harder part is knowing what to check, catching what is missing, applying the same review framework across multiple proposals, producing useful bidder-specific questions, and evaluating the responses consistently. CompareBidsPro provides that structured process and the finished analysis.

What is not included?

CompareBidsPro does not provide engineering design, legal advice, code-compliance certification, or an award recommendation. We do not pick the contractor. We help you see the differences, risks, unclear items, and questions that matter.

Bottom line

If the bids were already clear, aligned, and easy to compare, you probably would not need us.

CompareBidsPro exists for the jobs where the details matter, the wording is uneven, and the decision is too important to make on price alone.

We review the bids. Find the gaps. Give you the questions to ask. Then review the contractors’ answers.
